Job Description :
The Staffing Coordinator works directly with the Regional Manager to deliver best-in-class service to assigned customers. Responsible for the administration of processes and operational duties Perform a variety of personnel-related administrative tasks. This position will ensure the accuracy of the time submitted for payroll for the local branch. To be a key member of the Staffing team by supporting the recruitment processes in accordance with Healthcare Staffing hiring guidelines and policies. The Staffing Coordinator will contribute to the overall success of the team, by providing a high level of customer service and quality through coordinating/scheduling all phases of the interviews process for not only our candidates but our staffing partners. In this role, you will interact with potential candidates/applicants, Hiring Managers, and other Human Resources professionals.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Engage in recruitment efforts such as candidate sourcing, resume screening, scheduling, and conducting initial telephone interviews
Maintain internal applicant tracking system through Ultra Staff Edge
Ensuring that once communication is made to the applicant/employee, the contract activity notes are updated in Ultra Staff Edge
Proof and edit job requisitions for typing and grammatical errors
Post open positions to external job boards
Maintain social media outlets
Help develop and maintain relationships with various outreach programs
Assist with special projects as needed
Assists Clients by providing administrative support.
Ensures compliance with all assigned HCS workflows, policies, and procedures.
Ensures that standard operating procedures for the HCS/CSB organization are adhered to.
Manages all customer orders
Maintain employee records (soft and hard copies)
Assists with monitoring of the Worker’s Compensation and with identifying any discrepancies in bill rate & pay rate between the client.
Maintains weekly reporting requirements for assigned accounts.
Participates in special projects and performs other duties as assigned.
Maintain current employee information, policy and procedure manuals, and other communications and distribute as directed.
Management of E-Verify process for Healthcare Staffing.
Responsible for the accurate and timely processing of Weekly/Bi-weekly time submission to payroll.
Works in collaboration with the client, department managers, administrative supervisors, or their designees to ensure that weekly approval/submission of time is submitted according to established timelines.
Maintains accurate pay rate tables in Ultra Staff Edge for new hires, employee status changes, terminations, and other employment processes.
Manages Ultra Staff Edge timeclock setup and maintenance for both employees and approving managers.
Sets up and maintains orders in Ultra Staff Edge for new hires, employee status changes, terminations, and other employment processes.
Compiles and disseminates statistical and business data related to the branch’s payroll/time.
Maintains PTO spreadsheet, updating each pay period. If applicable
Receives and responds to all calls regarding payroll, time, and PTO for branch employees.
Completes Replacement Check Requests when if necessary.
Maintains information, files, and records related to payroll/time in written and electronic formats to ensure up-to-date reference and audit trail for compliance.
Research & resolve discrepancies in payroll information or documentation.
Prepares written correspondence as necessary.
Performs other related assignments as required.
Requires recent experience with electronic time and attendance software. Possess intermediate knowledge of MS Office (Word, Excel, PowerPoint, and Outlook). Internet/Intranet experience required. Must have the ability to read and interpret documents such as policy and procedure manuals, authorization documents, government regulations, etc.
Requires strong written communication skills and the ability to write regular reports and correspondence. Requires strong verbal communication skills (including over the telephone) and the ability to speak effectively to employees. Requires an individual with a strong teamwork
Required Education and Experience
HS Diploma or equivalent experience required
Outstanding organizational ability with great attention to detail
Excellent written and verbal communication skills
Microsoft Office Suite skills for creating reports and employee communications and strong Excel experience
Trustworthy with attention to confidentiality
Utilization of PC applications (i.e., Microsoft Word, Excel, PowerPoint).
Produce deliverables within a diverse, fast-paced environment, collaborate effectively across teams, and juggle multiple projects and initiatives simultaneously.
Effective oral and written communication skills with strong attention to detail.
Self-sufficient and motivated to work in a fast-paced, innovative company environment.
Customer service-oriented team player who coordinates with multiple departments and personnel.
Supervisory ResponsibilityNo direct supervisory duties.
Work EnvironmentThis job generally operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The noise level in the work environment and job sites may be minimal to loud.

Position Type/Expected Hours of WorkThis position is regularly Monday- Friday but may include weekend work.
