Job Description :
As a Guest Services Representative of Oyhut Bay Seaside Village you will serve as our visitors’ first point of contact. The ideal candidate will have a friendly and easy-going personality while also being very perceptive and disciplined. You will use excellent customer service for all visitors, owners and guests and remain professional and pleasant in challenging situations. You will be positive, pro-active and take responsibility for the satisfaction of guests and create a pleasant and memorable stay for our guests and manage all aspects of their accommodations such as registering guests, managing reservations, taking payments, balancing transactions, listening to guest concerns, resolving guest problems and providing information about cottages, rates and amenities. Guest Services Representatives will be skilled in and responsible for receptionist and clerical tasks along with assist the Rental Manager as needed. All guest services representatives MUST be disciplined while handling sensitive and confidential information pertaining to guests, owners, the security of properties or other employees. Representatives will be familiar with the layout of Oyhut Bay Seaside Village, be knowledgeable on special offers and information for the onsite restaurant’s operating hours as well as other operations or events in the Oyhut Bay community.
Ensure that all guests receive a friendly, efficient, and error-free check-in and check-out experience.
Ensure all required guest documentation is obtained and recorded appropriately.
Answer questions regarding the local area and facilities and be able to give proper directions and resources to positively influence each guests’ stay.
Answer all incoming calls and direct calls to the appropriate department.
Responds to guest inquiries and requests in a timely, friendly, and efficient manner.
Assist guests and owners in a friendly, proactive, and efficient manner with appropriate follow-up, as necessary.
Check, sort, and forward emails for our rental program.
Manage online and phone reservations.
Provide information about our resort, available cottages, rates, and amenities.
Communicates positively with any resort associates, internal departments, and resources to ensure guest satisfaction.
Check with housekeeping staff to ensure all cottages are clean and ready.
Assists Rental Manager and take up extra duties and ad hoc projects as assigned.
Keep front desk tidy and presentable.
Ability to work well with the Cottage Rental team. This means actively contributing at team meetings, maintaining flexibility in their scheduling, and a willingness to adapt to changes in workflow and environment as our business is ever-changing and seeing rapid growth.
Professional communication and organizational skills.
Excellent Customer service attitude.
Well-groomed, professional appearance.
Previous guest/customer service experience required.
Proficient written and verbal communication skills required.
Basic Computer skills (word, excel, outlook) required.
Available to work shifts over weekends, and on public holidays required.
Experience working with property management systems (PMS) preferred.
