A DAY IN THE LIFE AS OUR CONSTRUCTION PROJECT COORDINATOR
Under the supervision of the Construction Project Manager, the Construction Project Coordinator performs tasks involving the coordination of construction projects, including the preparation of pre- and post-construction job packages, monitoring of job production and budget tracking while providing support to internal/field personnel and clients. The ideal candidate will have previous experience in electrical, telecommunications, water, gas and sewer underground infrastructure.
The Construction Project Coordinator provides a critical role in supporting the vision and mission of the company.

QUALIFICATIONS FOR OUR CONSTRUCTION PROJECT COORDINATOR

Prior professional experience working in underground utility construction or construction related company (preferred, but not required)
Minimum 3 years of experience in construction project management
General understanding of underground utility work including excavation, electrical, telecommunications, water, gas, and sewer and/or dry utility construction
Ability to read and interpret detailed construction prints/drawings and detailed specifications
Proficient in Microsoft computer programs. (Experience with accounting and project management systems: Spectrum and HCSS HeavyJob a plus)
General understanding of profit/loss terms such as cost, margin and fee is required
Excellent customer service, clear and concise written, verbal and email communication skills
Ability to independently manage time and prioritize responsibilities to meet assigned and strict deadlines
Must be organized, detail oriented with a positive attitude, professional demeanor and eagerness to learn
Must have a sense of urgency, problem solving and analytical skills

DUTIES

Schedule pre-construction meetings with necessary municipalities, clients and field personnel
Prepare construction job packages by inputting new jobs into accounting system, create job folders in HCSS Plans and maintain project job database tracker
Coordinate and maintain daily schedules for all current and ongoing projects
Prepare final job packages that include support documents to clients for professional/construction services utilizing various portals and post invoices in accounting system
Track and monitor vendor and subcontractor invoices due for items and services rendered
Track project budgets based on contracted amounts to determine if Purchase Orders (POs)/Change Orders are required to request an increase to the initial approved project budget
Track and analyze project budget vs actual costs
Provide information to clients and internal personnel by answering questions and requests
Timeliness and accuracy of information of tasks, reports and deliver projects on time and on budget
Request and review accuracy of sub-contractor invoices for services provided
Ability to collect subcontractor invoices by timely follow-up with vendors
Primary liaison with subcontractors to ensure compliance with contract documents, proper billing, approval, and payment
Assist with AR, WIP Reports, aging reports, compliance related tasks and copies of invoices
Ability to manage multiple projects with effective accuracy and strong administrative skills
Demonstrate exceptional customer service skills, over the phone and in person, with our customers, vendors and internal department
Develop and sustain working relationships with clients, vendors and subcontractors through direct communication
Follow up with phone calls and emails as needed to obtain all required information, on-time, as needed or on a daily/weekly basis
Issue Purchase Orders (POs), enter PO information into the accounting system
Assist construction supervisors with material needs, as-builts and items necessary to complete the job on time
Handle miscellaneous requests from internal personnel and clients
Perform additional assignments per management’s direction
