Hi. My name is Steve and I am the owner of Liberty Appraisal & Consulting, Inc. We are a medium size real estate appraisal company located near Greenville, Michigan. We have been in business for over 20 years and are currently in need or an office/order manager. We have very aggressive plans for growth over the next few years and are looking for and enthusiastic, educated and effective person to help plan, organize and coordinate administration duties and office procedures while managing incoming orders and our Liberty Team. Covid reduced out Team from 6 to 3 which has given us this awesome opportunity to re-organize with plans to grow to 10-12+ team members in the next 2 years. We are looking for someone with an open mind, a positive and enthusiastic attitude and the skills needed to manage people and daily office operations. You MUST believe that we can achieve anything and have the actions and determination to help make it happen. Your role is to help inspire and maintain a goal driven, success focused Team that knows we can accomplish ANYTHING. All our staff works remotely so successful daily follow-up is required. Because we have a remote office, any reference to an “office” in this description is referring to our Team and our policies and procedures. In addition to office management duties, your role includes managing incoming appraisal orders and overseeing those orders throughout our step-by-step completion process. Skills with spreadsheets and Google Docs are needed. Even though the job is remote, your patience, determination and effectiveness in managing our Team and to solve minor problems that arise is critically important. Everything has a solution! This job requires you to have confidence in yourself, have good emotional control and communication skills and above all else, a desire to improve and learn. You must be able to rise above any personnel attitudes and/or complaints and focus on a solution. Office manager duties and responsibilities include scheduling meetings and appointments via Zoom, managing appraisal orders, offering improvements where needed, overseeing computers (getting help if a problem remains) and Google Accounts, monitoring and managing incoming emails, sending quotes, setting up new orders and scheduling completing of those orders (must have basic spreadsheet knowledge). A successful Office manager should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office on a daily basis, and to help improve company procedures and daily operations. Our normal office order load is 16-20 appraisals/week. We will gladly hire additional staff as needed.
Manage incoming emails and calls (using company cell phone)
Sent quotes to get orders
Learn the appraisal process so you are knowledgeable about what and how we do things
Order misc. supplies as needed
Schedule meetings, take notes and follow-up tasks (currently via Zoom)
Oversee posting and payment of Invoices
Manage Appraisal Status Log (Google Spreadsheet)
Manage Processing Log (Google Spreadsheet)
Manage Client Contact Lists
Help develop and maintain office accountability stats and reports
Contact Clients on monthly basis for updates and to maintain the relationship and open communications
Enthusiastic, happy, upbeat communication skills are required
Work to ensure entire office is cross-trained in all jobs to maximize Teamwork
Plan Team Building and Team Appreciation activities, like parties, celebrations and conferences
Proven experience as an Office manager, Front office manager or Administrative assistant
Knowledge of office administrator responsibilities, systems and procedures
Proficiency in MS Office (MS Excel and MS Outlook, in particular)
Experience with various online platforms and tools (Google, Cloud Storage, Gmail, etc. – I am not a computer guy: ))
Will need to learn new appraisal software and corresponding software we use.
Familiarity with email scheduling tools, like Email Scheduler and Boomerang and interest to find better ways for our office to become more effective and efficient.
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
Especially appreciate and creative mind with an ability to suggest, organize and create new improvements
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus; All additional education is a Big Plus!
